This Privacy Policy describes how Business Done Better, operating the Staffing Done Better website and recruiting service (“we,” “us,” or “our”), collects, uses, discloses, and protects personal information. It applies to visitors to staffingdonebetter.com, prospective and current business clients, job candidates, and people who communicate with us about the service.
1. Information we collect
- Website and inquiry information: name, business name, job title, email address, phone number, information submitted through a contact or newsletter form, discovery-call booking details, and the contents of messages you send us.
- Client and hiring information: role requirements, hiring budget, team and culture preferences, interview feedback, contracts, invoices, and payment and time-tracking information relevant to a signed engagement. Payment details may be processed by payment providers.
- Candidate information: contact details, resume or professional profile, work history, skills, location and availability, compensation expectations, references or assessments supplied during screening, interview responses, and communications with our recruiting team. Interviews may be recorded and summarized using AI-assisted tools after required notice and consent.
- Technical information: IP address, browser and device information, referring pages, site interactions, and cookies or similar identifiers that the Site, hosting provider, embedded CRM forms, scheduling widget, or analytics tools may collect. The Site currently embeds a CRM Done Better newsletter form and booking calendar.
- Information from others: we may receive a candidate referral, a professional profile, or hiring feedback from clients, references, recruiting networks, or the candidate’s own public professional sources, where permitted by law.
Please avoid sending highly sensitive identification, financial, or health information unless we request it through a suitable channel for a defined purpose.
2. How we use information
We use information to respond to inquiries and schedule calls; define a client’s role requirements; source, screen, assess, introduce, and facilitate interviews with candidates; support a hiring decision and compensation discussion; administer agreements, invoices, payment plans, and candidate compensation workflows where the applicable agreement provides for them; communicate service updates; send newsletters or promotional emails where you subscribe or applicable law otherwise permits; operate, secure, troubleshoot, and improve the Site and service; and comply with legal obligations or address disputes.
We may use an AI-assisted tool to prepare interview recordings, transcripts, summaries, or recruiter notes for the hiring process. Human reviewers remain responsible for the hiring recommendations we provide, and the client makes its final hiring decision.
3. How we share information
We may share candidate profiles, resumes, interview recordings or summaries, and other relevant screening information with prospective or current hiring clients who are evaluating a candidate. Clients must use that information for appropriate hiring purposes and handle it under applicable law and their own privacy obligations.
We may share information with companies that help us deliver the service, such as website hosts, CRM and scheduling providers, communications and video meeting services, recording or transcription providers, payment processors, and secure file storage providers. If a client elects a separate compliance or payroll service through Sigma Remote, information needed for that service may be shared with Sigma under the applicable arrangement. We may also disclose information when required by law, to protect rights and safety, or in connection with a business transaction, subject to applicable safeguards.
4. Cookies and embedded tools
The Site uses an embedded newsletter form and an embedded booking calendar hosted through CRM Done Better. These tools may receive information you enter and technical information about your visit. Other essential cookies may support security and core site functions. Browser settings may allow you to limit some cookies, though doing so may affect site features.

Our candidate network includes countries in Latin America, while the company address shown on the Site is in Florida. Information may be accessed or processed in other countries by authorized team members, clients, and providers when needed to deliver the service. Privacy rules may differ across those locations. Where applicable law requires specific safeguards or notices for international transfers, we will apply them.
8. Your choices and privacy rights
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of certain personal information, or to object to or restrict certain uses.
